Your invitation includes instructions on how to register your team to attend Casey’s C3 Expo. To begin the registration process, please click the REGISTER link below.
Once you have submitted registration, an email will be sent including codes for full access and expo only badge registrations based on your sponsorship level. All sponsors are responsible for booking their own hotel accommodations at any hotel of their choice nearby the Kansas City Convention Center. Below is a list of area hotels to consider. Please reach to confirm your hotel accommodations directly with the hotel.NOTE: Platinum and Gold Level sponsors will be able to request a hotel room during the main registration process based on total number of rooms allowed per sponsorship level. To confirm the amount of hotel rooms included in your sponsorship, please check your sponsorship inclusions listed above.
A sleeping room block has been secured for Platinum and Gold sponsors during your attendance at the conference. You will be able to register for your desired sleeping room nights as part of the event registration process. All other sponsor levels are responsible for booking their own rooms.

Conference Registration, Hotel & Travel
How do I register for conference badges?
Registration for badges will be part of sponsor registration this year. When registering for sponsorship, you will enter all the attendee information needed for conference badges.

How do I secure a hotel room?
Platinum and Gold Level sponsors will be able to request a hotel room during the main registration process based on total number of rooms allowed per sponsorship level. All other sponsors are responsible for booking their own hotel accommodations at any hotel of their choice nearby the Kansas City Convention Center.
I live close to Kansas City; will there be any transportation provided to the hotel?
No, please arrange your own transportation to the Loews Kansas City. Transportation and parking will be at your own expense.
How do I book my air travel for the expo?
All sponsors are required to book their own air travel to Kansas City. Air travel will be at your own expense. Please review the agenda to determine your appropriate arrival and departure times.
What is the attire?

Who is the Casey’s C3 Expo Exhibitor Services contact for 2024?
We have partnered with Fern for Exhibitor Services for the 2024 Casey’s C3 Expo. Fern Exhibitor Services can be reached at (800) 744-1251, ext. 1 or [email protected].
How are exhibitors assigned to their booth and location on the expo floor?
Casey’s determines all booth assignments, and a floor plan will be provided once it has be completed. Expected completion of the floor plan is early March 2024.
What type of booth will I have?
The majority of booths larger than a 10×10 are island booths, accessible from all four sides. 10×10 booths will be inline booths (located in a straight line alongside a number of other booth) unless otherwise noted.
What comes with my 10x 10 booth?
Each In-Line 10′ x 10′ booth space includes:
- 8′ high Black Background Drape
- 3′ high Black Side Drape
- One (1) 6′ Black Skirted Table
- Two (2) Side Chairs
- One (1) Wastebasket
- One (1) ID Sign

What additional booth options are available?
Fern offers OneView, a comprehensive online exhibitor service portal where you can place additional orders for your booth. OneView will include all event information and all services offered by Fern. The Exhibitor Kit will be live no later than February 1, 2024.
After February 1, 2024 you have not received a link to the Exhibitor Kit, please notify [email protected] or contact Fern directly at (800) 744-1251, ext. 1 or [email protected].
Is my booth carpeted?
No, only the aisles are carpeted. Flooring options for your booth are available through Fern’s OneView online exhibitor kit and can be ordered through Fern or you may provide your own. If you plan to serve poured beverages and/or food within your booth, the service area must have smooth, durable, and easily cleanable flooring (no carpet in serving area). This is a requirement of the local Health Department.
Does electricity and/or internet come with my booth?
No, electricity and internet requests must be ordered through OneView online exhibitor kit managed by Fern.
Is discount pricing available for booth orders?
Yes, please review the online exhibitor kit carefully and make sure you place all your orders by April 17 to take advantage of discount pricing.
When should I place orders for my booth?
To take advantage of advance order discount rates, place your orders with Fern through OneView online exhibitor kit by April 17, 2024. However, orders can be taken until the show dates.
Can I ship my booth?
Fern will accept crated, boxed, or skidded materials beginning between April 8, 2024 – May 10, 2024, at their warehouse. Materials arriving after May 10, 2024, will be received at the warehouse with an additional after deadline charge.

Shipments to the Kansas City Convention Center will not be accepted prior to Friday, May 10, 2024. Shipments arriving before this date may be refused by the facility.
What are the Expo hours?
Show dates are Monday, May 13 and Tuesday, May 14.
Load-In is Saturday, May 11 and Sunday, May 12.
Load-out begins at 5:00 PM immediately following show close on Tuesday, May 14 and continues through the afternoon on Wednesday, May 15.
Where and when do I check in/register onsite?
Sponsors must register onsite to receive a conference badge at the sponsorship registration desk located in the Kansas City Convention Center, Bartle Halls DE.
Can I bring additional attendees, over and above my sponsorship level inclusions?
Additional expo attendees to manage your booth onsite may be approved upon request however, all attendees must register for the conference to be allowed on the expo floor.
Onsite registration is possible, though pre-registration is preferred. Please note that all sponsorship attendees are required to secure hotel and travel arrangements on own unless otherwise noted. Sponsor activity attendance is restricted to the max number of attendees for your sponsorship level.

Can I serve food and/or drink at my booth?
Yes, but you must complete a the appropriate permitting application through the Kansas City Health Department. The form to obtain the permits can be found in OneView exhibitor kit managed by Fern or you can contact Casey’s Commitment Sponsorship Team at [email protected].
In-booth catering is provided by Aramark.
All bar service/alcohol product sampling REQUIRES an Aramark bartender at $200 per each (4) hour, additional hours charged at $25.00 per hour.
Does my sponsorship package include being able to attend the conference sessions?
Only Platinum (6 total attendees), Gold (4 total attendees), and Silver (2 total attendees) sponsors are permitted to attend the Day 1 General Session as part of their sponsorship. Sessions are closed to all other sponsorship levels.

Are meals provided to sponsors at the conference?
Sponsors with full sponsorship registrations are welcome to attend breakfast and lunch on Monday and Tuesday.
All sponsorship attendees are invited to join the Welcome Reception to be held on Sunday, May 12 from 6:00 PM – 9:00 PM on the Kansas City Convention Center Lawn. All other meals for sponsorship attendees are on own.
Sponsors with Expo only passes are on their own for all meals while onsite.
How do I pay for my sponsorship?
Casey’s will invoice and collect all payments for sponsorships based on the agreed upon invoicing schedule. If you have questions about your invoice or are unable to pay Casey’s directly, please contact Casey’s Commitment Sponsorship Team at [email protected].
Who do I contact if I have questions regarding completing a Temporary Food Permit for the Expo?

COVID-19 Health & Safety
What are the current COVID-19 restrictions in Kansas City?
There are currently no restrictions. The Loews Kansas City and Convention Center follow the regulations for Jackson County.
