Who should I contact if I have difficulty registering online or need assistance?

How do I make changes to my registration?

If you need to make changes to your registration, click the link provided in your confirmation email to get you back into the site. Use your C3 registration confirmation number to log in. If you still need help, please contact the Casey’s Registration Team at 844-633-0492 or [email protected]. Please do not contact the hotel directly.

How do I know if I’ve submitted my registration correctly?

Once your registration is submitted, you will receive an on-screen confirmation, as well as an email with your confirmation number. If you need assistance with registration, please contact the Casey’s Registration Team at 844-633-0492 or  [email protected].

Travel

Can I book my own airline ticket?

No, all tickets must be purchased through Egencia. Visit your Egencia account via Casey’s Intranet and Okta tile section, select Egencia and complete your travel booking.

What if I don’t have Egencia?

All Store Managers and field leaders should have the Egencia Okta tile via the Casey’s Intranet. If you do not have it, please submit a ticket through Service Now to update user.

I am driving to the meeting; do I need to register online?

Yes, the registration process ensures your attendance at the meeting and hotel accommodations are confirmed.

I live close to Kansas City; will there be any transportation provided to the hotel?

No, please arrange your own transportation to your assigned hotel. If you drive, self-parking will be covered by Casey’s. Should you choose to valet, it will be at your own expense.

If I drive to the meeting, will I be able to expense my mileage?

Yes, mileage will be reimbursed. Please refer to the Casey’s reimbursement guidelines here.

What airport should I be flying into?

Please plan to fly in and out of the Kansas City International Airport – (MCI).

How do I book my air travel for the meeting?

Once you have completed registration, please book your airfare through Egencia and ensure you arrive in Kansas City by 4:00 PM on Sunday, May 12 and depart after 1:00 PM on Wednesday, May 15. If you are a store manager, please work with your district supervisor to book your travel.

Will I be able to check into the hotel if I arrive prior to the 4:00 PM check in time?

The hotels will make every effort to check you into your room once you arrive. If your room is not ready, plan to store your luggage with the bell desk until your room becomes available. The hotels will collect your cell phone and contact you when your room is ready.

What should I do if I cannot find my flight itinerary for the conference?

Visit your Egencia account to locate the flight itinerary you booked. For further questions, contact Egencia at 312-741-6713 or use the online chat function.

What should I do if my flight gets cancelled?

In the event of a flight cancellation to or from Kansas City, please contact Egencia for information at 312-741-6713 or use the online chat function.

What expenses will be covered by Casey’s during the program?

The following expenses will be paid by Casey’s:

  • Mileage to and from your assigned hotel
  • Self-parking at the hotels
  • Air travel to the meeting and parking fees at your local, home airport
  • Transportation to and from airport, if you fly
  • Room nights, plus taxes, for May 12-15 only (unless previously approved)
  • Program meals as noted in the agenda
  • Please refer to the Casey’s reimbursement guidelines here for other travel-related expenses that may be reimbursed depending on your company expense policy

Will transportation be arranged from the airport to the hotel on arrival day and from the hotel to the airport on departure day?

When you arrive at the Kansas City Airport, please plan to take a taxi or Uber/Lyft to your assigned hotel. Ground transportation will not be provided. Be sure to keep your receipt for reimbursement per company guidelines. Travel time is approximately 25 minutes from the airport based on traffic.

What liquids, gels, and aerosols are approved for carry-ons?

Hotel

What hotel charges am I responsible for?

Casey’s will pay for your room (to include approved room nights and tax) at your assigned hotel. Meals will be provided during the conference. You will be responsible for any personal expenses and will be required to pay for these items at the time of purchase.

Personal expenses include in-room movies, in-room snack bar/mini bar charges, restaurant/bar charges and room service. For a complete list of all personal expenses, see the  Casey’s reimbursement guidelines.

What amenities are included in my hotel room?

Each hotel room is complete with furnishings and comfy bedding. Your bathroom will be stocked with complimentary shampoo, conditioner, soap, body lotion, and a hair dryer.

Do I need to tip housekeeping?

Tips and gratuities will be covered by the conference. If you require personal services, tips and gratuities are your responsibility and are not eligible for reimbursement.

Can I charge items to my room?

Your hotel will place a room charge hold on all guest rooms, meaning if you want to charge something to your room, use room service or grab something from the mini bar you will not be able to unless you provide a personal credit or debit card to the hotel. Basic hotel room costs are included and paid for by Casey’s.

Can I extend my stay in Kansas City before or after the conference dates?

No, we are not offering an option to extend your stay.

Will I have internet access in my hotel room, and what is the cost?

High-speed wireless internet access is available in all guestrooms at no additional cost. Specific information regarding internet will be available at the Casey’s Hospitality Desk.

General

Are guests allowed?

Guests are not allowed at C3. Tenure honorees are able to bring one guest with them for the Tenure Reception and Awards Dinner.

What is the proper attire during our stay?

Here is the recommended attire throughout the conference:

  • Welcome Reception: Level Up in your favorite hometown attire – shirts with your town / state encouraged and jeans appropriate.
  • Monday Sessions: C3 polo shirt (provided at registration) and jeans.
  • Division Dinners and Live Concert: Jeans and a collared shirt/blouse you’d wear to a nice dinner – no sport coat/blazer needed.
  • Tuesday Sessions: Divisions/Field teams will wear the division shirt they receive at registration. Those from the SSC can wear Casey’s casual.
  • Awards Dinner & After Party: Level Up to business casual slacks and collared shirt/blouse; suggested sport coat/blazer or skirt/dress; nice jeans allowed.
  • Wednesday Sessions: Casey’s T-shirt provided at Registration.

What is typical weather in Kansas City?
